Certified Copy: the notary confirms your copy is a true copy of the original document. Nobody needs to sign anything, so no signers are required.

Signature Witnessing: the notary witnesses a signature being made on the document, which is what deeds, affidavits, powers of attorney and wills normally require. You will be asked for the name and email of each signer.

Each signer receives an email with a link to sign the document, and signing is completed before the document is notarised or apostilled.

Witnesses: if your document also has to be witnessed, add the witness as an additional signer so that they receive their own signing link.

Already notarised, or a public document: a deed or agreement signed before a notary or solicitor, or a document issued by a public body — a birth, marriage or death certificate, a degree or academic transcript, a court order, a company filing or a police certificate. It already carries a signature or seal the issuing authority can verify, so we legalise it as it stands.

Not yet notarised: an apostille certifies a signature or seal already on the document, so anything carrying none — a private agreement, a letter you have written yourself, a photocopy or a translation — has to be signed before a notary first. We arrange the notarisation and the apostille together, and the notarisation is charged as part of the service.

If you are unsure which applies, look at whether a notary, solicitor or public official has already signed or sealed the document itself.


Do you need Document Notarisation instead? Order that service when the notarial act itself is what you need: a certified copy, or a signature witnessed before a notary. You choose the notary country and the type of notarisation, each named signer receives their own signing link, and an apostille can be added afterwards.

An e-Apostille is emailed to you and needs no delivery. A physical Apostille is issued on paper by the government office, so it has to be posted — as does any original document you sent us, which we return with it.

By default, we send you a PDF of your translation. This is electronically signed and stamped, and acceptable as-is. You will require postage for Sworn, Notarised or Apostille translations as we need to post the original documents to you. Postage is recommended, but not required, for Company Certified translations.

Standard Postage: We use standard / regular postage to have the document sent to you. This may take between 1 - 5 working days and does not include tracking.

Priority Mail: We use priority / special delivery options to have the document sent to you. This may take 1 - 3 working days and can be tracked.

Worldwide (DHL): Recommended if documents are to be sent outside the UK, EU, US or Canada. DHL or its equivalent is used to send the document. Tracking details will be shared.

What type of files are acceptable?

You may send us a Microsoft Word (doc or docx), PDF (scanned or editable) or Picture (JPG or PNG) file. All text, signature and stamps within the document should be clearly visible. You may upload one or more files when you order.

How are translations certified?

For certified translations into English, we produce the translation on company letterhead, with a certification cover page, attesting that it is a true and accurate translation of the original. This includes our stamp, signature and contact details.

Will your certified translation be accepted?

Within the UK, and as members of the Association of Translation Companies, our certified translations are accepted by the Home Office, Passport Office, UK Visas, USCIS and Universities. We also provide Sworn, Notarised and Legalised translations that meet the requirements of embassies and foreign authorities.

When will I receive my translation?

The standard turnaround time for certified translations is 48 hours. If you require it sooner, select the Urgent or Same Day option when ordering, and we will aim deliver within 12 - 24 hours or sooner. Requests for postage, notarisation or legalisation may take longer.

Do you certify translations for passport and visa applications?

Yes we do. The majority of certified translations we produce are for clients applying for a visa, naturalisation, passports or for academic reasons. Therefore we take extra precaution to make sure they will be accepted.

How will my certified translations be delivered?

The default delivery method is as a PDF file sent to you by email. This can be printed off and used in your application. You may also order the physical copy, which is printed and posted within 24 - 48 hours.

Where are your translators based?

We recruit and work with translators globally. For translations from English, we may work with translators based in those countries, or in others. All translators sign our NDA and agree to our terms to treat your information securely and fairly.

I have been asked to obtain a sworn translation

Sworn translations are required for official translations into French, Spanish, Italian, Polish, Czech Republic and some other countries. For these languages, we only use authorised & sworn translators in those countries. Additional fees apply.

I have been asked to obtain a notarised translation

We can provide Notarised translations that meet the requirements of Foreign Embassies or Authorities. Our translations are notarised by a Notary Public, then posted to you. Notaries charge per document, so we will inform you of any additional fees if you upload more than one document.

I have been asked to obtain a Legalised translation

Legalised translations demonstrate to the Foreign Embassy or Authority that the translation has been certified by a Notary Public, who is in turn known to the UK Foreign Office. We can provide same day or standard legalisation services to accompany your translation request.

What is document notarisation, and when do I need it?

A notary public confirms something about a document so that another authority will accept it. We offer two kinds: a certified copy, where the notary certifies that a copy is a true copy of the original, and signature witnessing, where the notary watches you sign and certifies your signature. Certified copies are usually asked for by banks, universities and immigration authorities; signature witnessing is for powers of attorney, declarations, affidavits and agreements.

Which notary will handle my document?

Choose the country your document is being notarised in. Our International notary is a digital notary registered in Sweden, accepted worldwide for most purposes, and is the fastest and lowest-cost option, with a fixed price shown at checkout. If the receiving authority requires a notary from a specific country, choose that country: we will review your documents and send you a quote, usually within a few hours.

Do I need to send you the original document?

Usually not. For a certified copy the notary works from the file you upload, and may ask to see the original or to speak with you if needed. For signature witnessing you sign the document online, so nothing is posted to us. If a wet-ink notarisation on paper is required, choose the Physical format and we will post the notarised document to you.

How does signature witnessing work online?

Every person who signs first verifies their identity online with a passport or identity card and a selfie, which takes a few minutes. They then sign the document electronically while the notary witnesses it. Each signer receives their own verification and signing links by email, so add everyone who needs to sign when you order.

What is the difference between the Digital and Physical formats?

Digital is signed and sealed electronically and sent to you by email as a PDF. Physical is signed and sealed by hand on paper and posted to you. Most authorities accept a digital notarisation; if you have been told a wet-ink signature is required, choose Physical.

Can I add an apostille to the notarised document?

Yes. If the document will be used in another country, tick the apostille option and tell us where it will be used. The apostille certifies the notary's signature, so it is issued in the notary's own country. If the country of use is not a member of the Hague Apostille Convention, we can also arrange embassy legalisation on request.

How much does it cost?

We charge per document rather than per page, and the price for the International notary is shown before you order. A file counts as one document however many pages it runs to; if one file holds several documents, change the count when you upload it. Apostille, embassy legalisation, translation and postage are priced separately as you add them. For notaries in a specific country we send a quote first.

How long does it take?

Standard notarisation with the International notary is completed within 48 hours of your identity check and signing being done. Priority and Urgent options are available at checkout for a faster turnaround. An apostille adds the issuing authority's processing time, and a physical document adds postage.

What happens after I pay?

The notary first reviews your documents and confirms they can be processed as ordered. You are then asked to verify your identity and, for signature witnessing, to sign online. The notary completes the notarisation, arranges the apostille if you added one, and the document is emailed to you or posted. You can follow every step on your order page.

What if the notary cannot process my document as ordered?

Because the notary reviews your documents before you do anything, we will contact you first if a different option is needed or if a document cannot be notarised. Nothing is sent or signed until that is agreed with you, and if we cannot proceed at all we refund your payment in full.

Can you also translate the notarised document?

Yes. Add a certified or sworn translation when you order and we translate the notarised document once it is ready, so the translation covers the notary's certificate too. The translation is delivered as a PDF by email.

What is an apostille, and do I need one?

An apostille is a certificate issued by a country's designated authority that confirms a public document, or the signature on it, is genuine, so that it is recognised in another country. You need one when a document issued in one country is to be used in another country that belongs to the Hague Apostille Convention. If the country of use is not a member, embassy legalisation is needed instead, and we can arrange it on request.

Which documents can be apostilled?

Public documents such as birth, marriage and death certificates, degrees and academic transcripts, court documents and company documents, as well as documents that have been notarised or certified by a solicitor. Choose the country the document was issued in, not where you live: an apostille can only be issued by the country of origin.

What is the difference between Apostille Only and Apostille & Certification?

An apostille certifies a signature or seal that is already on the document. If your document is a public document, or has already been notarised, choose Apostille Only. If it is a private document such as a contract, letter or copy, it must first be certified by a solicitor or notary before the apostille can be issued: choose Apostille & Certification and we arrange both. If you are unsure, order what you think is right; our partner reviews your documents before anything is sent and we will tell you if a different option is needed.

Should I choose an e-Apostille or a physical apostille?

An e-Apostille is an electronic certificate sent to you by email and verifiable online. It can only be issued on documents that carry an electronic signature, such as an electronically issued or digitally notarised document. A physical apostille is attached to the paper document and posted to you, and is the right choice for original paper documents such as certificates. Some countries issue only physical apostilles; the form shows what is available for the country you choose.

How do I get my documents to you?

Choose one of three options when you order. Post them to us at the address shown on your order page, and confirm the tracking so we know to expect them. Have them collected: enter your address and we book a courier to pick the documents up from you, with the cost included in your order. Or, if the document was issued electronically as a PDF, choose Use my digital PDF copy and nothing needs to be sent. Not every country allows every option; South Africa, for example, only accepts original documents, which are posted or couriered to our office in Pretoria.

How much does it cost?

Prices are per document and depend on the country of issue and the option you choose. For the United Kingdom, Apostille Only is £100 per document and Apostille & Certification is £118. South Africa's standard DIRCO apostille and its High Court, qualification, school certificate and medical certificate routes are priced at checkout in rand. For other countries we review your documents and send you a quote first. Courier collection, return postage, embassy legalisation and translation are added as you select them.

How long does it take?

Processing time is set by the issuing authority and shown on the form when you choose the country. A UK apostille takes around three working days, or four with certification, from the day your documents reach us. South Africa's standard DIRCO apostille takes up to eight weeks, with Priority and High Priority options at around three and two weeks. Add the time for your documents to reach us and for the finished document to be posted back.

What happens after I pay?

Our apostille partner first reviews your documents and confirms they can be processed as ordered. Only then are you asked to post your documents or to book the collection, so nothing travels before it has been checked. Once the documents arrive the apostille is issued, then posted to you or, for an e-Apostille, emailed. You can follow each step on your order page.

What if my document cannot be apostilled as ordered?

This is exactly what the review before collection is for. If our partner finds that a different option is needed, for example certification before the apostille, we contact you and agree the change and any difference in price before your documents are sent anywhere. If the document cannot be apostilled at all, we refund your payment in full.

Can you translate the apostilled document as well?

Yes. Add a certified or sworn translation when you order. The translation is made from a scan of the apostilled document, so it covers the apostille certificate too, and is delivered as a PDF by email after the apostille has been issued. If you need the translation itself apostilled, order a certified translation instead and add the apostille to it.

How long does a quote take for a country that is priced on request?

We review your documents and send your quote by email, usually within a few hours during UK working hours. You can accept and pay from the quote email or your order page, and your order starts as soon as payment is received.
